Refund & Cancellation Policy – Aeontrix

1. Overview

Aeontrix offers AI agent development, automation consulting, and ongoing AI system management. Our refund policy is structured to reflect the service-based nature of our work, and to ensure fairness and transparency for both parties. This policy outlines when refunds may or may not be issued and how clients can request one.

2. AI Audit & Transformation Journey Credit

We charge a fee upfront for the AI Audit, which involves evaluating your current systems, workflows, and business potential for AI transformation.

  • If you proceed with a transformation engagement (e.g. onboarding into any of our AI Suites), the full Audit amount is credited toward your total project cost.
  • This effectively makes the AI Audit fee refundable in the form of service credit.
  • If you do not proceed with a transformation engagement, the Audit fee remains non-refundable, as it represents the time and strategic insight already delivered.

3. Eligible Refund Scenarios

Refunds may be granted under the following conditions:

  • Non-Delivery of Service: No work was started within 7 business days of payment, and no audit, design, or onboarding sessions were delivered.
  • Duplicate or Accidental Payment: If you were charged more than once for the same service or billed incorrectly.
  • Failure to Meet Agreed Milestones: If Aeontrix fails to deliver a critical milestone (as outlined in a project agreement or scope document), and no workable resolution is offered within 14 days.
  • Pre-Work Cancellations: If you cancel a service before any onboarding, kickoff call, or work session begins, and within 7 calendar days of payment.

All claims will be evaluated on a case-by-case basis.

4. Non-Refundable Scenarios

Refunds will not be provided in the following cases:

  • • AI Audit Only (No Project Commitment): If you complete the AI Audit but do not proceed with transformation, the fee is not refunded.
  • Custom AI Work Already Delivered: This includes chatbots, agent logic, workflow automation, or code that has been completed and shared with you.
  • Platform or API Limitations: If limitations arise from a third-party tool (e.g., WhatsApp API restrictions, Zapier outages, Slack permission issues), we cannot be held responsible or issue refunds.
  • Retainer Plans (Post-Usage): Monthly or ongoing service retainers are non-refundable once work has begun in that billing cycle. However, you may cancel your retainer plan at any time before the next billing cycle to avoid future charges. Once the new cycle begins and work has started, no refund will be issued for that period.
  • Delays Due to Client Inaction: If we are unable to proceed due to lack of access, approvals, or information from your end.

5. How to Request a Refund

If you believe you are eligible for a refund, please email us at contact@aeontrix.com with the following:

  • Invoice or transaction reference number
  • Description of the issue and reason for the request
  • Supporting documentation, if applicable

We will acknowledge your request within 3–5 business days and aim to resolve it within 7–10 business days. Approved refunds will be processed to your original method of payment, unless otherwise agreed.

6. Adjustments & Goodwill Credits

At our discretion, partial refunds, future service credits, or extended support periods may be offered if a full refund does not apply but concerns are valid. These are typically granted in the interest of long-term relationships.

7. Digital Product Policy (Lead Magnets & Templates)

Lead magnets and digital templates offered via our website or marketing funnels are non-refundable once delivered via email or download. These are typically free or low-cost, and provided as-is. If you encounter issues accessing your download, reach out and we’ll assist promptly.

8. Reference to Parent Company Policy

This Refund Policy operates under the broader financial and legal structure of our parent company, Pasovit Technologies Pvt Ltd.
